FRONT OFFICE ASSISTANT JOB SUMMARY:

The Front Office Assistant serves as the first point of contact for residents, families, guests, and vendors at our senior living community. This role is vital in creating a warm, welcoming environment while supporting the administrative needs of the community. The ideal candidate is organized, compassionate, and comfortable working in a fast-paced environment.


FRONT OFFICE ASSISTANT ROLES & RESPONSIBILITIES INCLUDE:

  • Greet and assist residents, visitors, and staff in a courteous and professional manner
  • Answer and direct phone calls, take messages, and respond to inquiries
  • Maintain resident and visitor sign-in logs and ensure building security protocols are followed
  • Manage incoming and outgoing mail and deliveries
  • Support administrative tasks such as filing, data entry, and record keeping
  • Schedule appointments, tours, and meetings for prospective residents or vendors
  • Maintain cleanliness and organization of the front desk and lobby area
  • Assist with communication to residents and families (newsletters, notices, etc.)
  • Help coordinate resident events or activities as needed
  • Provide clerical support to various departments (healthcare, maintenance, dining, etc.)
  • Report maintenance or safety concerns to the appropriate personnel
  • Assist other departments in basic administrative tasks as deeded
  • Maintain the front lobby area for cleanliness and organization
  • Adhere to HIPAA regulations and maintain resident confidentiality
